You finish a report, try to attach it to an email, and get the message every office worker knows: file too large. Scanned documents, PDFs full of photos and long presentations saved as PDF can easily run to 20, 50 or even 100 MB. The good news is that you can usually make them much smaller in less than a minute, for free, without installing anything.
This guide shows you how to compress a PDF with ToolWixo’s free Compress PDF tool, explains why some PDFs are so big, and gives a few extra tricks for files that are still too large.
Why is my PDF file so large?
Most of the size of a PDF comes from images. A single page scanned at high resolution, or a phone photo of a document, can be several megabytes on its own. Other common causes are:
- Scanned pages saved at a very high resolution (600 DPI or more).
- Photos and graphics pasted into Word or PowerPoint before exporting to PDF.
- Embedded fonts and duplicated resources from merging many files.
- Many pages, especially when only a few are actually needed.
Email services limit attachment sizes. Gmail, for example, allows attachments up to 25 MB per email, and many company mail servers set lower limits. Online forms for job applications, visas and university admissions often accept only 1 to 5 MB.
How to compress a PDF online in 3 steps
- Open the tool. Go to ToolWixo Compress PDF on your computer or phone.
- Upload your PDF. Click the upload box and choose the file. The file is processed in your browser, so it is not uploaded to a ToolWixo server.
- Compress and download. Start the compression, check the new file size, and download the smaller PDF.
That is it. There is no sign-up and no watermark on the result.
What to know before you compress
ToolWixo’s compressor works by re-saving each page as an optimized image. This gives large size savings, especially for scans and image-heavy files, but it has one side effect: the text in the compressed PDF is no longer selectable or searchable. For most email attachments, forms and printouts that does not matter. If you need the text to stay selectable, keep a copy of the original file, or run the compressed result through OCR PDF to make it searchable again.
Still too big? Try these tricks
1. Remove pages you do not need
If only a few pages are relevant, use Remove PDF Pages or Extract PDF Pages first. Fewer pages means a smaller file, and the recipient gets exactly what they need.
2. Split the PDF into parts
For very long documents, use Split PDF to extract page ranges and send them as separate attachments.
3. Shrink the images before you make the PDF
If you are building a PDF from photos, compress or resize the images first with the Image Compressor or Image Resizer, then combine them with JPG to PDF.
4. Send a link instead
For files that must stay at full quality, upload them to a cloud drive and email a share link instead of an attachment.
Frequently asked questions
Is it safe to compress confidential PDFs online?
With ToolWixo the file is processed inside your own browser and is not sent to a ToolWixo server. Closing the page clears it. As with any tool, avoid using shared or public computers for sensitive documents.
Will compression reduce the quality?
Pages are re-saved as images, so very small text can look slightly softer. For normal documents the result is easy to read and print.
Can I compress a PDF on my phone?
Yes. The tool works in mobile browsers on Android and iPhone.
How much smaller will my file get?
It depends on the file. Scans and photo-heavy PDFs usually shrink the most. Files that are already small and mostly text may not get much smaller.
